Submit Final Course Grades to the University Registrar using CSV File Upload

  • You must be designated as an official instructor of record for the course by the University Registrar to be able to submit grades. If you are teaching a course with another instructor, you will only be able to submit your own final grades. 

    Instructional assistants, teaching assistants, and graduate assistants are NOT allowed to submit final grades to the University Registrar’s system unless they have been designated the official instructor of record.

  • For the last day to submit final course grades, please consult the University Registrar: Faculty and Staff Resources page.

    If you are unable to submit grades by that time, please contact the University Registrar at 512-245-2367 or at Registrar@txstate.edu.

    You will be able to change and resubmit final grades until the University Registrar’s grade-submission due date.

  • A CSV file is simply an Excel spreadsheet file saved as CSV (comma delimited). To save your Excel file as a CSV select File > Save As option and choose CSV  (comma delimited) from the Save as type drop-down menu.
     
    The first column of the CSV file must contain a student identifier such as the student’s Net ID or their Texas State ID number. The second column of the CSV file must contain the final grade you wish to assign the student. Any other columns in the file will be ignored by the system. See the example below for a properly formatted CSV file.

  • Please visit the Office of the University Registrar: Grades for valid letter grades.

     

    Please Note:

    • I: Instructor will need to enter the last date the student attended in the Last Date Attended field. The instructor will also need to enter the date of completion in the Incomplete Extension field. The Incomplete Extension field is pre-filled with a one year out set date. The instructor can change the date to be any date between the day after grade posting and the one year out set date in banner.
    • U: Instructor will need to enter the last date the student attended in the Last Date Attended field.

    1. Go to CatsWeb at http://catsweb.txstate.edu
    2. Select the Faculty/Staff button.
    3. Underneath the Faculty Menu, select Submit Final Grades - via CSV File
    4. Select Browse and locate your CSV file.
    5. Select Upload.
    6. Select Continue.
    7. Select the roster for which you wish to submit grades.
    8. Select Submit Grades.

    Additional Info Required

    1. If you receive any errors, make sure to correct them for the students listed and resubmit your file.
    2. Select View Submission Receipt to print your receipt or Return to Gradebook to return to the Submit final Grades screen.
  • An appropriate Withdrawal grade is required for a student

    A student dropped the course after the University Registrar's drop deadline and an appropriate withdrawal grade of W or U is required for this student. Once you have determined the grade you are going to assign the student, you must enter the letter grade in the Grade Override window of Gradebook and resubmit your grades. 

    An Appropriate Standard letter grade is required for a student

    You have entered an invalid letter grade for the student.

    This section is not grade-able

    The University Registrar has listed this section as one that cannot be graded. Some types of labs are designated as not grade-able. For more information, please contact the Office of the University Registrar.

    1. Go to CatsWeb at http://catsweb.txstate.edu
    2. Select the Faculty/Staff button.
    3. Underneath the Faculty Menu, select Submit Final Grades - via CSV File
    4. Select View Submission Receipts.
    5. Select the section for which you wish to view receipts.
    6. Select View Receipt.
    7. Select View Submission Receipt to print your receipt or Return to Gradebook to return to the Submit final Grades screen.
