Mediaflo

  • Mediaflo is the university's online media management system. It allows users to upload, manage, deliver, and share video and audio. Media can be shared via the university's learning management system (TRACS), web content management system (Gato), and in a personal website or blog. 

  • A Mediaflo account is not required for viewing media.

    For the ability to upload, manage, and share content, please see "How to: Sign up for a Mediaflo Account" below.

  • You will be directed to the Media Library tab in the Tabbed Interface once you log into the Mediaflo system. If you have access to multiple organizations or media libraries, you will select an organization and media library from the drop-down menu at the top of the screen.

    Once you are in the preferred Media Library, you may start uploading new media.

    To add new media to the library:

    1. Click [+Add].
    2. Enter a title.
    3. Enter a description and other information (metadata) that characterizes your media. This includes, keywords, copyright acknowledgements, and credits.

      NOTE: When adding credits [+Add Credit] to save the data.
       
    4. Click [Continue].
    5. If it is not selected, choose "Audio/Video" from the [Options] drop-down menu at the top of the page
    6. Click [Add file] to select a media file from your computer, or drag and drop your media into the [Drag file here] box.
    7. Click [Start Upload]. Once your content has been uploaded (status bar reaches 100%), you may advance to next step.

      NOTE: As your content moves through the conversion process, you will see a series of messages, such as Waiting Conversion, Pending ConversionConverting, Converted Successfully, Generating Thumbnails, and Ready. When Ready appears, your media is ready for review and publishing. 
       
    8. Click [Continue].
    9. Publishing allows the content to be shared with others. If you are not ready to publish your media, you may leave this page, otherwise click [Publish].

  • Faculty and staff must complete the online request form to acquire a Mediaflo account. This can be done at:

    http://mediaflo.its.txstate.edu/account-request.html

    Once an account has been created, you will be able to login to Mediaflo at: https://mediaflo.txstate.edu/ 

    You will need to enter your Net ID & password; make sure [TxState ID] is selected in the [Identity Provider] drop-down menu, and then click [Login]

  • To copy the Media's URL in Mediaflo:

    1. Go to https://mediaflo.txstate.edu/.
    2. Enter your NetID and Password.
    3. Make sure "TxState Net ID" is selected.
    4. Click [Login].
    5. Under the [Media Library] tab, click [ Permalink] under the media Thumbnail that you would like to retrieve the URL from.
    6. A system generated URL will appear in the Permalink pop-up window. If you would like to create a custom permalink, type a name in the textbox at the bottom, and then click [Create]. An updated link will replace the old one at the top.
    7. Copy the URL. Right click to choose [Copy] or use your keyboard shortcuts (Ctrl+C on PC, and Command+C on Mac) to copy the URL.

    To copy a Playlist's URL in Mediaflo:

    1. Go to https://mediaflo.txstate.edu/.
    2. Enter your NetID and Password.
    3. Make sure "TxState Net ID" is selected.
    4. Click [Login]
    5. Click the [Playlists] tab.
    6. Click [Permalink] next to the playlist you wish to retrieve the URL from.


    To paste a Mediaflo URL to a Gato Page:

    1. Login Gato Edit or https://gato-edit.its.txstate.edu/ with your NetID and password.
    2. Select an existing or create a new page.
    3. Click [Add Content] underneath the desired section.
    4. Select [Embed Video] Content type.
    5. Click [Choose].
    6. If desired, add a [Title].
    7. Paste the Mediaflo URL into the [Video URL] text box.
    8. Click [Save Changes]. 
  • To copy the Media's URL in Mediaflo:

    1. Go to https://mediaflo.txstate.edu/.
    2. Enter your NetID and Password.

    4. Click [Login].

    6. Click [Permalink] next to the playlist you wish to retrieve the URL from.

    To paste a Mediaflo URL via Resources Tool in TRACS:

    1. Select [Resources].
    2. Click [Add] next to the folder in which you want to add the URL, then click [Add Web Links (URLs)].
    3. Paste the URL in the [Web Address] box.
    4. Enter the website's name. If you do not enter a name, the file will display as the full URL.
    5. To add a description and control access and visibility for the resource, click [Add details for this Item].
    6. Click [Add Web] Links Now.
  • To copy Mediaflo Media Embed Code:

    1. Navigate to the [Media Library] tab.
    2. Click [Embed] located under the media item thumbnail that you want to embed.
    3. Select [iFrame] from the [Mode] drop-down menu.
    4. Select the checkboxes for the options you wish to apply.
    5. Copy the code. Right click to choose Copy or use your keyboard shortcuts (Ctrl+C on PC, and Command+C on Mac).


    To copy Mediaflo Playlist Embed Code:

    1. Navigate to the [Playlists] tab.
    2. Click [Embed Playlist] next to the Playlist you want to embed.
    3. Select [iFrame] from the Custom Plugin Code drop-down menu at the bottom of the page.
    4. Copy the text from the [Custom Plugin Code] text box at the bottom of the page. Right click to choose Copy or use your keyboard shortcuts (Ctrl+C on PC, and Command+C on Mac).


    Plug-in Custom Options and Appearance

    The Plug-in can be customized in several ways. Use the Custom Options & Appearance section to interactively select the features you want to apply. You can also preview how the Plug-in will look with the selected features by clicking [Preview]. Once you are satisfied with the Plug-in, copy the HTML Plug-in code so you can paste it into a web page.

    To paste a Mediaflo Embed Code via Learning Modules Tool in TRACS:

    1. Select [Learning Modules]
    2. Check the checkbox to the left of the module you want to add content sections to.  
    3. Click [Add Content] near the top of the screen.
    4. Enter a title and instructions for the section.(Note: The title cannot exceed 50 characters.)
    5. Select all three Modality check boxes: [Textual content], [Visual content], and [Auditory Content].
    6. Select [Compose Content with Editor] in Content Type.
    7. Click [Source] from the toolbar.
    8. Delete the [Compose Content Here] text. 

If you receive a call about Mediaflo, it is important that you obtain the following information from the user, if applicable:

  • What is the  user calling about? Get a short description from the user.
     
  • Is it an issue with video or audio content?
    • Does the user manage the content in Mediaflo?
      • If not, where did the user locate the content?
        • Get a URL and relative location from the user. (ex. tracs.txstate.edu in Lesson 3 under "This week's videos")
        • Ask who shared the content with the viewer.
      • If yes, where does the content live in Mediaflo?
        • Get the organization, library, and name of Media Item. (ex. BIO > Fish Videos > The Amazing Mantis Shrimp)
           
  • Is the user calling about captions or other assets?
    • Get as much information as possible.
